How event·hapily Works

Here is an overview of how event·hapily allows you to manage your events natively in HubSpot.

Custom Objects 

event·hapily works first by installing several custom objects into your HubSpot account:

event·hapily Events:
This is the high-level object for an Event. Any Event brought from an external source (i.e. Zoom), will have an event·hapily Event created. An event·hapily Event can have many event·hapily Sessions.

event·hapily Sessions: Any webinar, breakout, day, or meeting can be represented by an event·hapily Session. Each event·hapily Session has one parent event·hapily Event. From an external source like Zoom, an event·hapily Session is created for each meeting or webinar scheduled day.

event·hapily Registrant: This object is akin to an event badge. It represents the relationship between a Contact and an event·hapily Event/Session.

event·hapily Sponsors: This object represents the relationship between a Company and event·hapily Events/Sessions with regards to sponsorship.

event·hapily Speakers: This object represents the relationship between a Contact and event·hapily Events/Sessions with regards to speaking.

Syncing  

Upon installation and within the hapily admin portal, visit the Users & Settings tab of event·hapily and you'll be able to choose which Zoom User's Meetings and/or Webinars should be imported into HubSpot.


How Zoom Data Syncs With HubSpot

Webinars
When you create a Webinar in Zoom, event·hapily will create an event·hapily Event object with the data from that Webinar. Also, depending if your webinar is one or many days, the app will create an event·hapily Session object for each day. Those Session objects will be associated to the Event object.

Meetings
Each meeting of the users selected for sync will be brought over as both an event·hapily Event as well as an associated event·hapily Session. Remember, each Event will always have at least one Session, and a Session will not be created without an Event.

Registrants
Each registrant for a meeting or webinar will be brought over to HubSpot as a Contact and an associated event·hapily Registrant object. If a Contact already exists in HubSpot with the email of the Zoom registrant, that Contact will be used and associated to the Registrant object created.
