How to automatically create Registrants, Speakers, and Sponsors
event·hapily comes with three different Workflow Actions to allow for the automatic creation and association of Registrants, Sponsors, and Speakers. You'll find them in the Workflow Action tray underneath Connected Apps.
Create Registrant
The Create Registrant workflow action is available on Contact based Workflows. It works by looking at the "Latest Session Registration ID" property. That Session ID is automatically filled in if a user fills out a form on our Dynamic Session Landing Page template, or you can use any method that makes sense for your business to fill this out.
The Workflow Action will look at this ID, then will reference your choice of the below option:
If you choose "Yes", the created Registrant object and its Contact will be associated to every event·hapily Session that is associated to the event·hapily Event, not just the one whose ID has been provided. If you choose "No", the Contact and the created Registrant object will only be associated to the Session ID provided and its Event. Note that only the First Name from the Contact will be transferred to the Registrant object, this would need to be done further down in the workflow.
Create Speaker
The Create Speaker workflow action is available on Contact based Workflows. It works by looking at the "Latest Speaking Session ID" property. You can use any method that makes sense for your business to fill this property out, but it needs to be the ID of the Session for which you'd like a Speaker created.
The Workflow Action will look at this ID, then will reference your choice of the below option:
If you choose "Yes", the created Speaker object and its Contact will be associated to every event·hapily Session that is associated to the event·hapily Event, not just the one whose ID has been provided. If you choose "No", the Contact and the created Speaker object will only be associated to the Session ID provided and its Event. Note that NO properties will be transferred to the Speaker object, this would need to be done further down in the workflow.
Create Sponsor
The Create Sponsor workflow action is available on Company based Workflows. It works by looking at the "Latest Session Sponsorship ID" property. You can use any method that makes sense for your business to fill this property out, but it needs to be the ID of the Session for which you'd like a Sponsor created.
The Workflow Action will look at this ID, then will reference your choice of the below option:
If you choose "Yes", the created Sponsor object and its Company will be associated to every event·hapily Session that is associated to the event·hapily Event, not just the one whose ID has been provided. If you choose "No", the Company and the created Sponsor object will only be associated to the Session ID provided and its Event. Note that NO properties will be transferred to the Sponsor object, this would need to be done further down in the workflow.
